1. Who we are
Vectis Home Physiotherapy is a private home-visit physiotherapy service on the Isle of Wight. We are the “data controller” for the personal information described in this policy, which means we decide how and why it is used.
Email: info@vectishomephysio.co.uk
ICO registration number: ZC100848
This policy covers information collected through our website, vectishomephysio.co.uk. If you become a patient, we will give you separate information about how we handle your clinical records.
2. What we collect through the enquiry form
Our enquiry form asks for:
- your name;
- your email address (and phone number, if the form asks for one); and
- a short message in the enquiry box.
You do not need to give us any medical information to make an enquiry, and we ask that you do not include any. We will discuss your circumstances with you directly.
If you do choose to include health details in your message, we will treat them as confidential and use them only to reply to you.
3. How we use it
We use your information only to read your enquiry and reply to you. Form submissions are delivered to our email inbox. We do not use your details for marketing, we do not add you to any mailing list, and we do not sell or share your information for any other purpose.
Lawful basis: we process your details because it is necessary to respond to your request before any agreement is made (UK GDPR Article 6(1)(b)), and because we have a legitimate interest in answering people who contact us (Article 6(1)(f)).
4. Who handles your information
We use a small number of trusted providers to run the website and deliver your message to us. They process information only on our behalf:
- Netlify hosts our website and may process technical data such as your IP address when you visit.
- Postmark delivers your form submission to our email inbox.
- Plausible Analytics gives us anonymous statistics about website use (see section 7).
We will not share your information with anyone else unless you ask us to, or the law requires it.
5. International transfers
Some of these providers are based in, or use servers in, the United States. Where your information is transferred outside the UK, we rely on appropriate safeguards, such as the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Agreement.
6. How long we keep it
We keep enquiries for up to 12 months and then delete them. If you become a patient, the details you gave us become part of your clinical record, which we keep in line with professional guidance and as explained in our patient information.
7. Analytics and cookies
We use Plausible Analytics, a privacy-focused tool, to see how many people visit the site and which pages are popular. Plausible does not use cookies, does not collect personal data and does not track you across other websites. Because of this, we do not need to show a cookie banner. Our website does not use advertising or tracking cookies.
Cloudflare Turnstile
We use Cloudflare Turnstile on our enquiry forms to check that messages are sent by people rather than automated bots. When an enquiry form loads, Cloudflare processes technical signals such as your IP address, browser information and the website address to carry out this check. The form sends a verification token to our server, which checks it with Cloudflare before sending your enquiry. Turnstile does not read or receive the details you type into the form.
We use Turnstile because we have a legitimate interest in protecting our forms from spam and misuse (UK GDPR Article 6(1)(f)). Cloudflare processes these signals on our behalf for the security check and may also use them to improve its bot detection. You can read more in Cloudflare’s Turnstile Privacy Addendum.
8. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct anything that is wrong;
- ask us to delete your information;
- ask us to restrict or stop using it; and
- withdraw your consent at any time, where we rely on it.
To use any of these rights, email us at info@vectishomephysio.co.uk. We will respond within one month.
9. Complaints
If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
10. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last changed shown at the top.
